Part-Time Bookkeeper / Finance Coordinator

Black Diamond Event Production is hiring a part-time Bookkeeper and Finance Coordinator to manage our books day to day. It's roughly five hours a week, pay negotiable based on experience, built for someone who already knows QuickBooks cold and wants one steady account to own. Most of the work happens from home. The rest happens in person: we need someone close enough to get to our Stoneham office three to four times a month for bank runs, deposits, and the occasional sit-down with the team.

The Role

What You'll Own

You'll be the one set of eyes on our books, so the job runs the full loop, from invoices to reconciliations, not just one piece of it.

  • Manage accounts payable and receivable, and keep every invoice and bill on schedule.
  • Keep our books accurate and current in QuickBooks, with every transaction categorized correctly.
  • Reconcile bank and credit card accounts, and keep receipts and expenses tracked and organized.
  • Run payroll, and prepare 1099s and year-end documentation.
  • Handle bank runs, deposits, and other in-person banking needs. This is the piece that brings you into the office.
  • Prepare monthly financial statements and keep records organized enough that ownership and our outside accountant never have to ask twice.
  • Catch discrepancies before they become problems, and answer financial questions from vendors, employees, and management as they come up.

Requirements

What You Bring

QuickBooks fluency is the floor here, not the ceiling.

  • You know QuickBooks inside and out. This one isn't negotiable.
  • You've done full-cycle bookkeeping before, from AP and AR through reconciliations, payroll, and reporting.
  • You're meticulous with the details, and you catch your own errors before anyone else does.
  • You work well without someone checking in on you, and you hit deadlines without being reminded.
  • You can be trusted with confidential financial information. Discretion matters more here than almost anything else on this list.
  • You're comfortable in Microsoft Office or Google Workspace.
  • You live close enough to Stoneham to make it into the office three to four times a month. This is a hybrid role, not a remote one.

Bonus: you've worked with small businesses before and know how different that is from corporate accounting.

The Details

The Fine Print

This is a small, flexible role, about five hours a week on average, though the workload shifts with payroll, month-end close, and tax season. Some weeks are quieter than others. Year-end tends to be the busiest stretch.

Pay is negotiable, based on experience. The schedule is yours to build around the work, as long as the bills get paid, payroll runs on time, and the books stay current. What we can't flex on is the office time: three to four visits a month to our Stoneham location for the tasks that have to happen in person.
