Yes, and we do it constantly. Most Boston hotels and conference centers allow outside production companies. We coordinate directly with the venue technical director on load-in windows, power distribution, rigging points, and house system tie-ins so nothing conflicts. If your contract requires the venue to supply certain elements, we build around them rather than duplicating cost.

We do. We provide clean audio feeds into Zoom, Teams, and Webex, camera capture and image magnification for larger rooms, managed stream encoding and platform delivery, remote presenter integration, and session recording for on-demand distribution. Hybrid scope is confirmed during the spec stage so network requirements are coordinated with venue IT well before show day.

For standard meetings and presentations, eight to twelve weeks is generally sufficient. For large conferences, multi-day summits, and Q4 dates across Greater Boston, we recommend four to six months because inventory and crew fill quickly. If your timeline is tighter than that, call us anyway. We offer 48-hour rush support for standard packages subject to equipment and staff availability, and rush surcharges may apply inside 72 hours.

Yes. Multi-room programs are scoped room by room with a master run-of-show that sequences load-in, session start times, and crew coverage across every space. General session and breakout rooms are staffed so that no room is left without a technician during an active session, and we build changeover time into the schedule rather than hoping for it.

Redundancy is built into every package. We carry backup wireless microphones, spare presentation laptops, duplicate signal paths, and additional cable on every job. Our technician stays in the room for the duration of the program, so a swap happens in seconds rather than becoming a visible interruption for your audience.

Photography and videography are in-house services at Black Diamond, not outsourced. We cover full-session event photography, executive headshots, corporate videography with edited highlight reels, social content suites, and drone photography and videography where permitted. Keeping capture on the same contract as AV means one call sheet, one point of contact, and a consistent visual tone across the program.
